Definition & Scope

What is an IT managed services contract?

An IT managed services contract is an agreement whereby a company entrusts a specialized provider with the management, operation and supervision of all or part of its information systems. Unlike a simple one-off maintenance contract, managed services are built on a long-term relationship with contractually defined service level agreements (SLAs).

The scope of a managed services contract can cover physical or cloud servers, web applications, databases, network security, backups and disaster recovery. The key is delegation: your provider becomes the operational guarantor of your infrastructure, allowing you to focus entirely on your core business.

According to the ISO 20000 standard and ITIL best practices, a managed services contract must precisely define coverage windows, response times, performance indicators (availability, average response time, first-contact resolution rate) and escalation procedures in the event of a critical incident.

Why outsource

The concrete benefits of a managed services contract

Outsourcing the management of your information system through an IT managed services contract delivers immediate and measurable benefits.

Controlled and predictable costs

No more unexpected expenses related to outages or recruiting rare IT profiles. The managed services contract transforms a variable cost into a fixed monthly charge, simplifying your annual budget and financial projections.

Immediately available expertise

Access a team of specialists (Linux/Windows administrators, cloud experts, back-end developers, security engineers) without the delays and costs of internal recruitment. Your managed services contract gives you access to multidisciplinary skills from day one.

Guaranteed 24/7 availability

Your infrastructure never sleeps. With a Sooweb managed services contract, your website and applications benefit from continuous monitoring, automated alerts and nighttime and weekend interventions for maximum availability that safeguards your online reputation.

Continuously enhanced security

The threat landscape evolves every day. Your managed services provider ensures critical security patches are applied within 24 hours, monitors intrusion attempts and implements robust backup policies with regular restoration tests.

Scalability and flexibility

Your infrastructure grows with your business. Traffic spikes, new service launches, cloud migrations: your IT managed services contract includes mechanisms for rapid resource adjustment without service interruption or procurement delays.

A single dedicated point of contact

A dedicated project manager centralizes all your requests, tracks your tickets and keeps you informed. No more siloed exchanges between different technical providers — your managed services contract guarantees overall consistency across your information system.

Frequently asked questions

Everything you need to know about the IT managed services contract

Clear answers to the questions every decision-maker asks before signing a managed services contract.

How does billing work for a managed services contract?
Billing for an IT managed services contract is simple and transparent: a fixed amount is invoiced on the 1st of each month, covering all services included in your plan (monitoring, maintenance, support, backups). No surprise surcharges for interventions covered by your SLA. Services outside the agreed scope (specific developments, major migrations) are subject to a separate quote approved before any work begins. We accept SEPA direct debit or bank transfer.
What is the minimum commitment period for a managed services contract?
The minimum period varies by plan: 3 months for Starter, 6 months for Business. This initial period allows us to audit your infrastructure, implement monitoring tools, automate backups and fully document your information system. After the minimum period, the contract renews on a month-to-month basis with 30 days' written notice to terminate. The Enterprise plan requires an annual commitment, reflecting the investment in customization and dedicated resources.
What happens in the event of a critical emergency outside business hours?
Our monitoring systems detect critical incidents in real time and automatically trigger alerts to our on-call team. For Business and Enterprise plans, a dedicated emergency line is available 24 hours a day, 7 days a week, 365 days a year. In the event of a major outage (site down, security breach, data corruption), an engineer takes charge of the incident within the contractual response time (GTI). A full incident report (post-mortem) is systematically sent to you within 48 hours, including root cause analysis and corrective measures implemented to prevent recurrence.
Does the managed services contract cover cloud migrations?
Management of your existing cloud infrastructure (AWS, Azure, OVHcloud, Scaleway) is included in the Business and Enterprise plans. Migration projects from shared or dedicated hosting to a cloud architecture are handled as standalone projects, with a detailed specification, quote and intervention schedule agreed in advance. Our engineers are certified on the main cloud platforms and have expertise in Kubernetes, Docker and serverless environments. All migrations are carried out in "zero downtime" mode with a rollback plan in place.
What exactly does the SLA of an IT managed services contract include?
The SLA (Service Level Agreement) is the legal backbone of every managed services contract. It specifies the guaranteed uptime rate (expressed as an annual percentage), incident response times by severity level (P1, P2, P3), coverage windows, financial penalties applicable in the event of non-compliance, and exclusions (force majeure, out-of-scope interventions requested by the client). At Sooweb, every SLA is written in plain English, without excessive jargon, and you benefit from a right to terminate if commitments are not met for two consecutive months.
How does the onboarding process work when signing a managed services contract?
The onboarding process is structured in four steps over the first 2 to 4 weeks. First, a comprehensive audit of your existing infrastructure (servers, applications, dependencies, vulnerability points) is carried out by our engineers. Next, we deploy monitoring and backup tools and establish secure access. We then fully document your information system in our internal knowledge base. Finally, a kick-off meeting officially launches the contract and introduces your dedicated project manager. From the very first operational day, your infrastructure is under active surveillance.
